Overview


ATTENTION: DO NOT SCHEDULE AN EVENT IN THE LAW BUILDING WITHOUT FIRST WORKING WITH THE CONFERENCE AND EVENT SERVICE TEAM.

Conference and event services

Our Conference and Event Services team has implemented a comprehensive event scheduling process. Events are categorized into four tiers to streamline planning and resource allocation.

As part of this categorization, each registered student organization (RSO) is entitled to host one public event per academic year. While all events receive dedicated attention from the Conference and Event Services team, this tiered approach enables us to devise tailored marketing strategies and optimize time management for maximum impact.

Prioritized departments with designated planning days

Certain departments in the building have designated days, typically during the lunch hour, for hosting events:

    • Tuesdays: Office of Student Affairs
    • Wednesdays:Career Development Office
    • Thursdays: Wallace Stegner Center

If you are looking at the law events calendar and see openings on any of those days, do not assume they are open to schedule on. Please follow the appropriate steps below to schedule your events.

 

Planning an event with a speaker or guest


If your event involves a speaker or a guest, PLEASE READ CAREFULLY:

  1. DO NOT confirm any dates with speakers or guests until you have completed the event request form and received confirmation from the Conference and Event Services team regarding the availability of your selected dates.
  2. Does your speaker or guest fall into any of these categories?

VIP (high profile): The Conference and Event Services team will require information if this individual requires special accommodations (e.g., security). Events featuring VIPs should require an RSVP, emphasizing that once attendees RSVP, attendance is expected (with exceptions for serious illness or emergencies). This information will need to be included in the SJQ student organization request form, which is linked below in How to schedule an event.

Judge: Inform the Conference and Event Services team if this individual requires special accommodations (e.g., security) within the SJQ student organization request form, linked below in How to schedule an event. You should also notify the Clerkship Committee, as they endeavor to attend these events to forge connections and potentially offer further opportunities for students. Please email Jaclyn Howell, career development office director, about who and when they will be visiting the law school.

Public or elected official: Please inform the Conference and Event Services team if a public or elected official is attending when filling out the SJQ student organization request form, linked below in How to schedule an event. This notification is necessary to determine if special accommodations, such as security or ADA requirements, are needed. Additionally, it helps us track if someone gives the person any gifts, meals, or other items valued over $10 and ensures compliance with relevant regulations and guidelines.

Alum: Contact the Office of Development for alumni-related events. They endeavor to attend these events to establish connections that may offer additional opportunities for our students.

3. Does your speaker or guest need parking? If yes, RSOs are responsible for buying parking for their speaker or guest through Commuter Services.

How to schedule an event


To schedule an event in the S.J. Quinney College of Law building, please follow the steps below:

  1. Review the Planning Tips and Checklist
  2. Fill out the SJQ student organization request form. (We highly recommend submitting the form two to three months ahead to ensure availability.)
    • a. Review by Conference and Event Services team: Upon receiving your request form, our Conference and Event Services team will carefully assess it for any conflicts. Conflicts may arise due to space availability or scheduling clashes with other events targeting the same audience. If you do not receive an email from the Conference and Event Services team, please contact Kris Monty, associate director of conference and event services.
    • b. Approval and feedback: After review, the Conference and Event Services team will provide feedback and either approve or suggest adjustments to your event.
    • c. Placement on internal master calendar: Upon approval, your event will be added to the internal master calendar, and the appropriate space will be reserved. Please note that room availability is subject to the class and event schedule.

By following these steps and adhering to the planning tips, you can ensure a smooth and successful event scheduling process in the S.J. Quinney College of Law building.

 

Law events calendar in Outlook


Please be aware that external users cannot edit the law events calendar. Only the Conference and Event Services team has control over this calendar, and external users are merely viewers. You are still required to complete the event request form if you intend to host an event in a room within the law building.

To add this law events calendar to your Outlook, please follow these steps:

Online Outlook:
1. Go to CIS.
2. Click on Umail.
3. Click on the Calendar icon.
4. Click on Add calendar (look on the left side of the window).
5. Click on Add from directory.
6. Type "law events calendar" into the search field.
7. Add to Other calendars.

Mac/PC Outlook application:
1. Click Calendar in the navigation pane.
2. Click Open Shared Calendar in the ribbon.
3. Type "law events calendar" into the search field.
4. Click OK.
