ATTENTION: DO NOT SCHEDULE AN EVENT IN THE LAW BUILDING WITHOUT FIRST WORKING WITH THE CONFERENCE AND EVENT SERVICE TEAM. YOU MUST HAVE A CONFIRMATION FIRST THAT CONFIRMS DATES/TIMES/ROOMS ARE AVAILABLE.​

Each Recognized Student Organization (RSO) may host one public event per academic year.

While every event receives support from the College’s Conference and Event Services team, we encourage student organizations to focus primarily on events for their members.

Department Priority Days – Please Avoid Scheduling Conflicts

Some departments have reserved event days, usually during the lunch hour. Please avoid scheduling your event on these days unless you’ve confirmed availability with the department:

  • Tuesdays: Office of Student Affairs

  • Wednesdays: Career Development Office

  • Thursdays: Wallace Stegner Center

If you're considering one of these days, be sure to reach out to the appropriate department before submitting your event request.

Step 1: Planning an Event with a Speaker or Guest?


If your event will include a speaker or special guest, please read this section carefully before confirming any dates. If your event doesn't include a speaker, skip to Step 2.

🚫 Do NOT confirm a date with your speaker or guest until:

  • You have completed the SJQ Student Organization Event Request Form (see Step 2).

  • You receive confirmation from the Conference and Event Services team that the date is available.

Special Guest Categories & What You Need to Do

⭐ VIP or High-Profile Guest
  • May require special accommodations (e.g., security).

  • Event should require RSVPs, and emphasize that attendance is expected once someone RSVPs (except in cases of illness or emergencies).

  • Include all relevant details in your Event Request Form.

⚖️ Judge
  • May also need special accommodations (e.g., security).

  • Notify the Clerkship Committee (reach out to the Career Development Office to ask how you can get ahold of them) —they try to attend and connect with judges.

  • Email the Career Development Office with the judge’s name and visit details.

🏛️ Public or Elected Official
  • Inform the Events Team via the Event Request Form.

  • Helps us plan for any special accommodations (e.g., security, ADA needs).

  • Allows us to track gifts, meals, or items valued over $10 to stay in compliance with legal guidelines.

🎓 ULaw Alum
  • Contact the Office of Development for alumni events—they often want to attend and support these opportunities.

Step 2: Submit Your Event Request

  • Timeline: Submit your event request 2–3 weeks in advance.

  • Processing Time: Allow 3–5 business days for the events team to process your request. If you do not here back from the events team about your submitted form in that timeline, please email Kris Monty, Events Director.

Preventing & Addressing Disruptions During Events


If you’re planning an event, it’s important to be aware of your rights and responsibilities related to free speech and protest.

Review University Policy

All student organizations, campus units, and outside groups reserving space in the law building must review and acknowledge the University’s Speech Policy.

Concerned About Possible Disruptions?

  • The College of Law Response Team is available to assist with concerns about protests or disruptions.

  • They will also coordinate with any groups wishing to organize a policy-compliant counter event.

Law Events Calendar in Outlook


The Law Events Calendar helps you stay aware of other scheduled events in the building.

⚠️ Please Note:

  • Only the Conference and Event Services team can edit the Law Events Calendar.

  • External users (including students) can only view it.

  • You must still submit an Event Request Form to reserve a room—viewing the calendar doesn’t book the space.


How to Add the Law Events Calendar to Outlook

For Outlook on the Web:

  1. Go to CIS

  2. Click on Umail

  3. Click the Calendar icon

  4. Click Add calendar (left side)

  5. Select Add from directory

  6. Type law events calendar

  7. Add to Other calendars

For Outlook Desktop (Mac/PC):

  1. Click Calendar in the navigation pane

  2. Click Open Shared Calendar

  3. Type law events calendar

  4. Click OK
